Your Session

The session fee for all sessions pays for the time and talent of the photographer only, and does not include any finished portraits or files. The session fee is due at the time of booking. Session fees are non-refundable, however with 48 hours notice it can be rescheduled in case of an emergency. If you are sick on the day of the session please call to reschedule. Sick or uncomfortable people do not like to be photographed and we know that you will not love your portraits nearly as much as if he or she was in good health.

Please bring only the subjects to be photographed to the session. Cathy will need their full attention on her rather than looking at other members of the family or friends. Of course parents are always welcome when we photograph children!

Personal cameras are not allowed in studio during your session. Please refrain from taking I-phone images or video taping. We work very hard to ensure your session is captured artistically and creatively. We ask that you respect our livelihood and refrain from taking photographs of what we are creating.

Preview and Ordering

You will view your portraits at a personally attended preview appointment that will take place 1-2 weeks after your session. You will be asked to order at this time and payment in full or a payment plan with your first payment is due at the time of ordering.

Please make sure all decision makers are present, as additional ordering appointments incur a $100 fee. Clients who cannot make a decision about products or images during their viewing appointment may schedule an additional ordering appointment for a $100 fee. We do NOT offer online galleries for ordering. Digital files cannot be released outside the studio until full payment is made.

While Cathy and her staff do capture many images during your session, you will see only those images selected by her, the artist, for previewing. We carefully render each image to ensure maximum artistry and technical perfection. Images with blinking eyes, duplicates, etc. will not be shown and are removed from the archives permanently after the artist rendering is complete. We always strive for excellence!

Once your order is placed in-person and with a Create Your Own Collection purchase, one of our promotional collections, or an A La Carte purchase, your purchased files will be uploaded to an online professional lab for printing and/or downloading. Printing with them will ensure professional quality and correct color. Images will be hosted here for a period of one year. Anyone whom you choose to share the gallery with be able to purchase prints and products directly from the lab. We cannot control access and only give authorized access to the client who made the purchase.

We keep all ordered files in our system for one year. All unordered images are purged after 30 days. Missed or additional preview appointments will incur a $100 fee to reschedule.

Graphic Design

All graphic design for albums, cards, specialty work and/or fine art work must be approved in studio and will not be sent electronically to the client for review. Consumer monitors are not professionally color calibrated and will not show color accurately. Therefore, all graphic design approval occurs on our monitors here at the studio. Projects that include graphic design include one complimentary revision. Additional revisions will be charged our standard rate of $75 per hour.

Delivery

Please allow up to 4 weeks for your order to be completed. Some orders may take longer. Your portraits are an investment and an heirloom that should not be rushed. You will be notified by telephone or e-mail when your order is ready for pickup. If you are unable to pick up your order, we can ship your order to you for an additional charge.

Payment

Due to the custom nature of the work and the enormous labor/proofing/editing efforts it requires to prepare your order for print or digital delivery, payment for your order must be placed in full and is subject to a 50% cancellation fee should you change your mind about an order after it is placed. Once a print order is sent to the lab or a digital order is delivered, it is deemed nonrefundable. Due to the downloadable nature of digital files, there are NO RETURNS for digital products. Once you view the negatives and accept the files at your viewing appointment, the sale is final. Payments may be made cash, check, Visa, MasterCard, Discover or American Express. We do offer a payment plan. Please inquire.

Archives

All ordered images are kept on file for a period of 1 year. All other images are deleted after 30 days to clear our archives for future sessions. Re-orders placed more than 60 days after the preview appointment, require a minimum $200 re-order.

If you have signed a model release your files may be kept for an indefinite period of time in order to be worked for promotion, marketing and fine art use. Please see the model release for more usage information.

Model Release

The release permits the use of the session images in our portfolio, including use on future promotional material (either printed or electronic) and on the Cathy Nance Studios website. It permits us to use your images for national and local print competition through Professional Photographers of America, WPPI and AIBP. and allows us to submit your images for fine-art gallery review. It also allows us to post sneak peek previews of your session on the Cathy Nance Studios blog and/or on Facebook. Please note: we protect our clients privacy and never reveal personal information. Your privacy is important to us, you select different levels of our use on the model release.

Liability

You agree to hold Cathy Nance Studios, Cathy Nance and/or her employees and assistants harmless for any injury, loss or damage to yourself, your family, personal property, and/or animals during your portrait session. Cathy or her assistants will ask you to stand/sit/pose or take action in certain ways to obtain the best possible images. If you or your family or property are injured or damaged during your time with her, you understand that Cathy Nance Studios and/or Cathy Nance nor her assistants are in no way liable for any harm caused, and that any action you take is of you own accord. You understand that animal behavior can be unpredictable and Cathy Nance is not responsible for any errant actions on the part of your pets. Biting dogs or aggressive animals will be asked to leave the session immediately and will NOT be photographed. Animals are only photographed on location and not photographed in the studio. There are no exceptions.
